Maintenance, checks, and faults help you monitor the condition of your systems, vehicles, and other objects, plan work, and document events in a traceable way.

* **Maintenance**

  Planned maintenance work for the regular servicing of objects to prevent failures.
* **Checks**

  Regular inspections or checks to assess the condition and detect possible problems early. Checks can, for example, be carried out daily.
* **Faults**

  Unplanned defects, problems, or events. Record a fault when an issue needs to be documented or resolved.

Using the search bar, you can find maintenance steps in the currently open view. The search looks through the fields “**Description**” and “**Comment**”.

Simply enter a search term in the search bar. The view will then be filtered and will show only the matching results.

If you want to search for a specific object, status, or assigned person, use the filter area. \

Use the search bar if you want to find a specific maintenance step by description or comment. Use the filters if you want to narrow your search by objects, status, responsibilities, or other criteria.

<summary><strong>How are assigned users notified?</strong></summary>

If you assign a maintenance, a check, or a fault to a person, that person receives a notification via the **skadii mobile app**.

The assigned person can then **filter and edit their tasks directly**.

* Open Maintenance Overview.
* First, select the respective category maintenance, check, or fault at the top.
* Then select the filter “**Assigned to**” and click “**My**”.

**Note:** Using user permissions, you can restrict which tasks a person may see. With the role “**MM\_Operator**” a user sees only the open tasks assigned to them or their own open tasks. This keeps tasks clear and employees see only the maintenance steps relevant to them.

<summary><strong>Do I need an internet connection to use Maintenance Overview?</strong></summary>

No, you can also use Maintenance Overview **without an active internet connection**. However, the offline function is available **only in the skadii mobile app**.

To work offline, you must **first sign in with an active internet connection** successfully **in the skadii app**. Also make sure that the required data has already been synchronized.

You can then edit and document maintenance, checks, and faults even in areas without network coverage.

As soon as an internet connection is available again, your **changes are automatically synchronized with the system**.

<summary><strong>What types of maintenance plans are there?</strong></summary>

Maintenance Overview supports different types of maintenance plans. You can use manufacturer maintenance plans, adapt them, or create your own maintenance plans.

* **Standard maintenance plan:** Use a predefined maintenance plan from the manufacturer and assign it to an object. Available manufacturer updates can be adopted if needed.
* **Customized maintenance plan:** Use a manufacturer maintenance plan as a basis and adapt maintenance steps, intervals, or content to the requirements of your operation.
* **Self-created maintenance plan:** Create an individual maintenance plan for your objects. This option is suitable if no suitable manufacturer maintenance plan is available or if you want to map your own maintenance processes.

**Note:** Check in advance whether a suitable manufacturer maintenance plan is already available for your object (systems, vehicles, ...). Depending on type and year of manufacture, different maintenance plans may be available.

You can find the maintenance plans in Maintenance Overview under **Settings**. There you can **plan editor** open the plan editor and manage all available maintenance plans.

* open the “**plan editor**”.
* select at the top left in the **filter a category** out
* it will now show you all maintenance plans for the selected category

* Select the appropriate “**Category**” from the filter at the top left.
* Check the maintenance plans displayed for this category.
* Search for the suitable manufacturer maintenance plan.

A maintenance plan is **not automatically recreated.** Maintenance Overview uses **existing** maintenance templates or individually created maintenance plans for this.

First, check whether a suitable **manufacturer maintenance plan is available** for the respective system, vehicle, or other objects.

How to proceed:

* Open Maintenance Overview.
* Go to “**Settings**”.
* Open the “**plan editor**”.
* Select a “**Category**” from the filter at the top left.

* create a new maintenance plan via Excel upload

After assignment, the system automatically creates the upcoming maintenance tasks based on the defined maintenance steps and intervals.

You can edit a maintenance plan in Settings, in the plan editor, if you have the user role “**MM\_Manager**”. There you can adjust maintenance steps, intervals, measurements, attachments, tags, and other information.

* Open Maintenance Overview.
* Go to Settings and open the plan editor.
* Select the appropriate “**Category**” from the filter at the top left.
* Click the desired maintenance plan.
* Click the three dots to the right of the desired maintenance step.

The **Name of the maintenance plan** You can edit it using the pencil icon next to the plan name.

**Save** your changes after you have adjusted the maintenance plan. Changes to the maintenance plan affect future maintenance. Maintenance that has already been completed and documented remains unchanged.

If you want to use a **maintenance plan in** **multiple languages** To use it, click the globe icon in the top right. Select the desired languages and confirm the selection with “Confirm”. Then enter the content separately for each activated language so that it is displayed correctly later.

To assign a maintenance plan to an existing object, you need the user role “**mm\_admin**”. With this permission, you can manage maintenance plans and assign objects in the plan editor.

How to proceed:

* Open Maintenance Overview.
* Go to **Settings**
* Open the **plan editor**
* Open the desired maintenance plan
* Click on “**Manage model types**”.

* Go **back to the overview** of all maintenance plans
* Find the maintenance plan to which you assigned the object
* Click next to the maintenance plan on the **newly assigned object** (in white)

* Enter the requested information, for example the date of first use or the current operating hours

After completion, the object is fully set up and assigned to the maintenance plan. The corresponding **maintenance tasks will then be displayed in the “Maintenance” tab**.

**Note:** In the overview - plan editor, you can see all existing maintenance plans as well as the objects already assigned to them. **Objects marked in blue** are already assigned to a maintenance plan. **Objects outlined in white** are not yet assigned to any maintenance plan and can be selected.

Make sure that the maintenance plan matches the selected category and the respective product type. A **maintenance plan can be assigned to multiple objects** A **object, however, can only ever be assigned to one maintenance plan at a time** .

To remove the assignment of a maintenance plan to an object, you need the user role “**MM\_Manager**”. With this permission, you can manage in the plan editor which objects are assigned to a maintenance plan.

How to proceed:

* Open Maintenance Overview.
* Go to “**Settings**”.
* Open the “**plan editor**”.
* Select the appropriate **Category** category from the filter at the top left, for example piste groomers, ropeways, or snowmaking systems, etc.
* Open the desired maintenance plan.
* Click on “**Manage model types**”.

* As soon as the blue check mark disappears, the assignment has been removed.

### Check Management

A **check is a daily inspection task**. With a check, you inspect and document the condition of a system, vehicle, or object.

Unlike maintenance, with a check you do **no maintenance work** on it. You inspect defined **checkpoints and confirm** them.

Checks are used, for example, for daily inspections:

* *before commissioning*
* *during operation*
* *after operation*

For a task to be displayed as a check, it must **be defined as a daily task** in the maintenance plan. Only appropriately configured tasks then appear in the Checks area.

Checks must be actively started and carried out every day. Only then can you document and complete the individual checkpoints.

<summary><strong>What is an issue and what do I need it for?</strong></summary>

A **An issue is an unplanned problem, an event, a defect, or damage** to a system, a vehicle, or an object. Use an issue when a problem has been identified and needs to be fixed or documented.

Unlike maintenance or a check, an **issue does not arise from a planned interval**. It is created when a problem is noticed during operation, during an inspection, or during maintenance.

There are **two types of issues:**

* **Minor problem**\
  Record a minor problem if an irregularity or defect needs to be documented that does not currently significantly affect operations.
* **Major problem**\
  Record a major problem if there is a defect or issue that requires immediate action or can affect operational capability.

Typical **examples of issues** are:

* *defective components*
* *technical malfunctions*
* *damage to vehicles or systems*
* *defects identified during a “check”*
* *unexpected outages or operational problems*

Issues help you **document and communicate problems in a structured way, define responsibilities, and track processing**. You can assign an issue to a **person and track progress in the system until it is resolved**.

<summary><strong>Where can I find all issues?</strong></summary>

You can find all **issues in Maintenance Overview** in the Issues area.

First select the appropriate “**Category**” in the filter area so that the correct objects and related issues are displayed. For example, if you select the Piste Vehicles category, you will only see the issues for the piste vehicles.

Which issues are visible depends on the selected category, the available objects, and the filters set.

<summary><strong>How do I report an issue?</strong></summary>

You can report an issue directly in Maintenance Overview in the **Issues area** . Use this function when a problem, defect, or irregularity has been identified on a system, vehicle, or operating equipment.

How to proceed:

* Open Maintenance Overview.
* Go to the **Issues area**
* Click the “**Report issue**”.

* **Save** the issue

After saving, the issue is created and can be edited further.

You can then add more information, for example photos, comments, or a responsible person. The issue can also be assigned to another person for processing.

Alternatively, you can **also report an issue later** from a maintenance task or a check.

How to proceed:

* Open the desired maintenance task or the desired check
* Click on the maintenance task, the check, or the corresponding maintenance step
* Click on the **three dots** (directly on the maintenance task or individual maintenance step)
* Select “**+ Report issue**”.

The issue is **then also displayed in the Issues area** and can be edited there further.

<summary><strong>What information is required to create an issue?</strong></summary>

To create an issue, you must record some basic information. This allows the problem to be assigned clearly and edited later.

The following **information is required:**

* affected object, vehicle, or system
* type of problem, for example “**minor problem**” or “**major problem**”.
* **title** of the issue
* **Comment** or description of the problem

Describe the problem as precisely as possible so that the responsible person can quickly understand and process the issue.

After saving, the issue is created and displayed in the **Issues area.**

You can then add more information, for example:

* *photos or attachments*
* *additional comments*
* *responsible person*
* *further documentation on the problem*
* *assignment to another person for processing*

You can resolve an issue as soon as the problem has been solved. To do this, open the corresponding issue and mark it as “**completed**”.

How to proceed:

* Open Maintenance Overview.
* Go to the area **Faults**
* Open the desired issue
* Add more information if needed, for example comments, photos, or working hours

After completion, the issue is marked as “completed” and remains visible in the **history.**

You can also complete an issue directly in the overview. To do this, click the white circle to the left of the description of the corresponding issue without opening the issue first.

<summary><strong>What information can I add when resolving an issue?</strong></summary>

When resolving an issue, you can document additional information. This keeps **it traceable what the problem was and how it was solved**.

For example, you can add the following information:

* **Description** of the problem and the **Status** of the problem (major or minor)
* **completion date** (when the problem was solved)
* **comments** or notes on the solution to the problem
* **Photos** for documentation
* **working hours**
* working hours under “**Warranty**”.
* current **operating hours**, for example for unconnected objects
* an assigned **person**
* additional information or documentation on the resolved issue

After saving, the issue is marked as “**completed**” and remains permanently stored in the history.

<summary><strong>How can I filter issues?</strong></summary>

You can filter issues using the filter options on the left side of the issues overview.

  In addition, you can filter by specific people responsible for an issue.&#x20;
* You can also filter the issues by status, for example open issues or completed issues.
* If needed, you can also filter by a specific period.

<summary><strong>What happens to resolved issues?</strong></summary>

Resolved issues **remain stored in the system** and can be traced at any time later. All recorded information remains available, for example comments, photos, working hours, or further documentation of the resolution of the problem.

You can find resolved issues in the Issues area. There, use the **filter Status → “Completed”**&#x74;o specifically search for issues that have already been completed.

<summary><strong>Why can't I see the Maintenance Overview icon in the sidebar?</strong></summary>

If Maintenance Overview is not displayed in your sidebar, click the four dots (“All applications”) at the bottom left and select Maintenance Overview from the list. Then the icon will appear in the sidebar.

<summary><strong>Why can’t I create or edit a maintenance task or check?</strong></summary>

If you cannot create or edit a maintenance plan, you probably lack the **necessary permissions.**

To create, edit, and assign maintenance plans, you need the user role “**MM\_Manager**”. Only with this role do you have access to the settings, the plan editor, and spare parts.

Check the following:

* *Do you have the role “**MM\_Manager**”?*
* *Is **Maintenance Overview** assigned to you?*
* *Can you see the Settings area?*
* *Have you selected the correct **Category** for example “Piste Vehicles”, “ropeways”, or “snowmaking systems”?*
* *Is it a **manufacturer maintenance plan**, for which restrictions may apply?*

<summary><strong>Why can’t I create or edit a maintenance plan?</strong></summary>

If you cannot create or edit a maintenance plan, this is usually due to missing permissions.

To create, edit, and assign maintenance plans, you need the user role “**MM\_Manager**”.

Only users with this role have access to:

* “Settings”
* “Plan Editor”
* create maintenance plans
* edit maintenance plans
* assign maintenance plans to objects

Users with the role “**MM\_Operator**” can carry out maintenance tasks, checks, and issues. However, they do not have access to the “Plan Editor” and cannot create or edit maintenance plans.

<summary><strong>Why can’t I see any maintenance tasks, checks, or issues in my overview?</strong></summary>

It is possible that currently **one or more filters are set**. As a result, you may only be shown certain maintenance tasks, checks, or issues. Check the filter options on the left side. Active filters are indicated by the respective **filter button highlighted in blue**.

* At the very top of the filter area, click “**Reset filters**” to remove all active filters. After that, all available maintenance tasks, checks, or issues will be displayed again.

<summary><strong>Why are all my maintenance tasks shown as overdue?</strong></summary>

If all maintenance tasks are shown as overdue, this is not always due to an error in the maintenance plan. Frequently, **filters, open maintenance steps, or incomplete work are the reason** for this.

Check the following:

* *Are **active filters** set?*
* *Is a **specific status selected**?*
* *Is a specific **time period** set?*
* *Were maintenance tasks that have already been carried out still **not marked as “done”**?*
* *Are maintenance tasks actually **outside the intended interval**?*

First, reset all active filters and check the Maintenance Overview again. Then check whether maintenance tasks that have already been completed were also closed in the system.

**Note:** A maintenance task is shown as open or overdue until it has been marked as “done” in the system. Tasks that have already been carried out also remain overdue if they were not completed.

If maintenance tasks, checks, or faults are not displayed, there may be several reasons. It is often due to the selected category, active filters, an active search, or missing permissions.

* *Select the correct **Category** category, for example “piste vehicles,” “ropeways,” or “snowmaking systems”*
* *Reset **active filters** it*
* *Remove any existing **search terms** from the search*
* *Check whether you have the **necessary permissions** for the relevant area*
* *Check your **internet connection***
* ***Reload the page or the application***
